John read the Treasurer’s report.

John asked for a vote on purchasing 100 coins for the 10/10/10 event for the Fall Picnic.
Coins will cost approximately $600.00. Sell for $1,000.00.
All 4 officers in attendance voted yes.

Should we do something with the money we have in the bank? What do we need?
Generator? Isolation transformer?

Fall Picnic – Ribs, Brats & hot dogs are the meat menu
Cache page will be ready soon
Price will be $5.00 for adults and $2.00 for children 5 through 12.

Training classes
BruceS will do a WayMarking class for the next two Premium Member classes.

We voted to give Kevin of K Team a chair for his 10,000 finds.

Busch Wildlife Expo – Poor attendance – should we be participating?
It appears that it is not being promoted.
If it is not better next year we may consider not doing it again.

SLAGA Board Meeting Minutes
July 7, 2010


Mail giftcard to geowow.

Yvonne provided the treasurers report with documentation.

It has been suggested to put the officer’s meeting on the SLAGA calendar.

Nominations have been tallied, just waiting on information concerning one nomination.  Voting to be ready by August 1st.

St. Louis Community College – Need more info.  Bridget to contact regarding additional information.  Need to know, where it is to be held; when it is being held; how big is the class; is there a fee for this class, and if so do we get paid for teaching class; is this a repeat class; how long is this class.

Learning Lab Visitors Center Forest Park – Jim Greene to attend/take brochures and he will make contact regarding this class.  (This is the Volunteer group at Forest Park)

Geocaching Merit Badge Counselors – need an article on the website to encourage members to submit an application to participate in this community service.  Do not need to be involved in Boy Scouts to be a merit badge counselor. 

Adventure Base 100 – August 21-22 at Baseball Village by the stadium downtown.  Set up booth and pass out literature.  Add training dates to the literature.  Maybe we will get some scouters to take the training and use them as a geocaching resource for future requests from scouts.

John and Laurie to do a pathtag inventory.

Deadline cut off for the Zip Line event.  Total of 22 people attending.

Webmaster to take off the call for nominations article on the website.

Bridget to finalize the updating of the by-laws to put on the website. 

Mike H has taken over the milestone awards.  He is the head guy in charge of the membership updating.  John and Jim will also update membership as needed.

John restocked paper products in the trailer. 

Mad Chef and Crowsfeet30 are planning the fall picnic and the 10/10/10 event together.

Scout Quest 100 –  2 night courses were provided.  One from the zoo and one from the planetarium.

Milestones – Mike Henthorn will be handling the milestones and membership due to Pandy Andy’s retirement.

Summer Picnic – Rock Susan will be hosting the Summer Picnic in St. Peters.  Page is up and running.

Officer Nominations – Nominations are underway. 

Tax Letter – Yvonne working to get all paperwork filed with necessary departments (IRS, Federal, etc.)

Treasurers Report – Breakdown provided on previous months income/expenses.

SLAGA Board Meeting Minutes
May 5, 2010

Library Date Status – Cancelling Sept 22.  They are sending the refund check to the PO Box.  Classes to be scheduled by the Vice President from now on, not the secretary.

May 8th, Washington State Park – Need GPS’s, laptop, hide caches upon arrival (stump, wood, micros and swag).  Send blast to freelist 5/5/10.  Attending:  John, Laurie, Rich and Mike H.

SLAGA Pathtags – Bought 250, sold 58.  Put an article on website people are able to buy at all events.

10,000 Milestone Award – approved chair for MutherNSun.  Chair $35, Imprint $15 = $50 total.

CITO in Forest Park – May 15 – Meet at 11am on 15th with Charlie and Anabeth from the Flora Conservancy.  They will direct us to plant perinnials and weed flower beds.  Afterwards, play some GPS games and go geocaching in the park.  Wrap up at 4pm.  No water or lunch available, bring your own.

Scout Quest 100 – Forest Park – June 4, 5, 6 – Go out the weekend before the event and set up 3 night courses.  SLAGA can come on the 4th and start setting up anytime.  We will have a booth for all Friday night and Saturday and Sunday.  We need a quick meeting prior to the event to go over the details.  We should start asking for  volunteers through the website and newsgroup.  Use SLAGAs gps and dining fly.  Bring trailer and park in lot above booth.  Courses to run from the North exit of the zoo the north exit of the planetarium and the east side of the history museum.  Leads back to the booth where the scouts with a wrist band only will be given a patch provided by the council. 

10/10/10 Event/Fall Picnic – On a Sunday – Sarah C. to host.

Officer Nominations – Until June 30.  Handled by Steve Bromley and Mariel.  They then contact the nominations to see if interested in running.  They prepare a slate. 

By-laws (break up to review sections at each meeting?) – Changes made to the following:
Article III – Board of Directors (Section 5)
This ballot will be provided electronically to all registered SLAGA members on the current website.  The membership must vote electronically through the SLAGA website. 

Article III – Board of Directors (Section 7 – Position Duties)
Vice Presidents – need specific duties for each vice president.

Under Secretary – Move the following under President –
Provide written notice of date, time, and location of meetings to the membership at least two weeks prior to the meetings, including, as needed, notice of elections.

Bridget reserve St. Louis County Library – Tesson Ferry Branch on Lindbergh 1st choice, Oak Bend 2nd choice for Sept 22 and Nov 17 (Weds) 6-9 pm.  Reserve online midnight April 3. 

New Business
GPS Class March 20 at Queeny Park 10-2.  Jim call for count – Dennis Hogan of STL Co Parks contact.  Attending:  Jim, Rich, Mike H.  Slides need updated on Google Docs by Mike H. 

10 Yr Geocaching Coin – ordered 100 sell for $10.  Suggested that it is offered to premium members first. 

Website – Approval to go live ASAP.  Everyone registers as a new member.  Original membership date manually entered in.  Trial registration for everyone with minimal info required – required email address. 

St. Charles Class – March 15 Metal Detecting Club “Coin Shooters” giving presentation.  Everyone is encouraged to attend. 

New Member RAM0611 – Ryan McNeal – returned military from overseas, cached in another country.  Suggested and approved that be awarded a one year SLAGA premium membership as a thank you for serving for our country.  Suggested and approved that any military personnel who is a member of SLAGA and has cached overseas be awarded the “thank you” gift of a one year SLAGA premium membership.

Steve B received a phone call from Walter of the Florrisant Park Commission to do a presentation on March 10.  John has asked Mark and Shirley Derr to do it since it is in their area of town.

Spring Picnic being hosted by Sarah – Crowsfeat30.  She has talked with Ron Paul from the Parks Dept.  It is to coincide with the 10 year world wide coin event. 

June 23 – Jim teach class at Emminiger Park. 

Yvonne to inquire about Federal Tax Filing on merchandise sales, etc.


Scouting Events involving Geoaching

Big event happing in June with over 15,000 people over the weekend.  Mike Griffin chairing the GPS/Geocaching Activity has asked SLAGA to help man the activity.  Mike to get access to the park specifics.

May 15 – GPS/Geocaching Festival – Teaser for June event.  Held at Forest Park – involves a CITO event.

June 4, 5, 6 – ScoutQuest 100 – Friday open with night course activity.  Hours Sat 9-5, Sun 10-12.
SLAGA set up on Friday with trailer and dining fly.  Council 24 – SLAGA 10. 
Letter course – name in drawing for prize, BSA will supply prizes and will provide swag for caches.

AGENDA ITEM: OLD BUSINESS - SLAGA Geocoins
Presenter: Sarah Chisholm
Discussion: Sarah was unable to attend, but she updated the officers by email prior to the meeting. Coin samples should be received by Dec. 8.
Conclusions: Officers will need to meet to review sample coins as soon as they are available.

Action Item: Schedule meeting to review geocoin samples.

AGENDA ITEM: OLD BUSINESS - Training Classes for Premium Members
Presenter: John Elfrank
Discussion: Officers reviewed and approved all training class dates. Class locations were discussed. Topics are yet to be decided. Conclusions: The location for all St. Louis County classes is the St. Louis County Library, Oak Bend Branch, 842 S Holmes Ave., Saint Louis, MO 63122. Jim has paid for all library room reservations and will find out when 2010 dates can be reserved at St. Louis County libraries. The location for the St. Charles County classes will be confirmed with Mike Henthorn, who provided a conference room for the last St. Charles County class.

Action Item: Confirm St. Charles County class locations.

AGENDA ITEM: OLD BUSINESS - Milestone Awards for Premium Members
Presenter: Jack Anderson
Discussion: Jack presented a list of premium members eligible to receive milestone awards at the Winter Potluck, a sample congratulatory email to be sent to eligible members, and a printout of the milestone pins and coins to be presented. Laurie Elfrank also brought samples of the pins that had been purchased. A 10,000-find award was discussed.
Conclusions: Jack will begin sending congratulatory emails to award recipients immediately. Going forward, Jack will send eligible members an email shortly after they reach their milestone as determined by geocaching.com. He will also keep a spreadsheet on which members have picked up their awards. Coin/pin sets are out of stock, but should be available by the end of the week. Laurie will check to see if they come with plastic protectors. Gift boxes will be purchased for the 5000-find sets, and velour pouches will be purchased for the 1000-find sets. An appropriate 10,000-find award will be discussed at a later date.

AGENDA ITEM: OLD BUSINESS - Geocaching Informational Displays
Presenter: Mariel Leggett
Discussion: Mariel brought posters which she had designed and purchased with Board approval. John Elfrank confirmed that the library displaycase reservation at the Tesson Ferry Branch has been rescheduled for August 2009. Jim Greene said that the displaycase at Oak Bend has no dates available in 2009.
Conclusions: All the officers were very pleased with the posters and thought they would work well in a library displaycase or displayed at the SLAGA booth. Mark Derr took two of the posters for use in the library displaycase. He will organize the items for the display but will be unavailable Aug. 1 to set it up at the library. Jack Anderson and John Elfrank said that they might be available. John took two posters to keep as originals from which to make copies. These will be used in the SLAGA booth at upcoming public events and at the Queeny Park Community Center.

Action Item: Arrange for someone to take display items and set up library display.

Discussion: Arlene Jones has volunteered to host the 2009 Spring Picnic. Laurie Elfrank volunteered to help her obtain corporate donations for the picnic.
Conclusions: The officers will offer assistance as picnic details become available.

Action Item: Send "Hosting a SLAGA Event" document, inventory list, and tax-exempt letter to Arlene.

AGENDA ITEM: NEW BUSINESS - SLAGA T-Shirts
Presenter: John Elfrank
Discussion: Selling SLAGA t-shirts at events.
Conclusions: SLAGA can buy t-shirts in bulk from Cafe Press at a discount and pass the discount along to premium members when shirts are purchased at an event. An order of no more than 20 t-shirts should be purchased. Jack Anderson suggested putting the artwork from the SLAGA geocoin on a t-shirt. If shirts sell well, we could look into doing special event shirts on a pre-order basis.

Action Item: Choose a version of the artwork from the SLAGA geocoin that may reproduce well on a t-shirt and ask Laura Million to upload it to Cafe Press for use on SLAGA merchandise.

AGENDA ITEM: NEW BUSINESS - Website Disclaimer
Presenter: John Elfrank
Discussion: A new SLAGA member had confused their SLAGA premium membership with their geocaching.com premium membership. Jim Greene explained to them that premium SLAGA membership has nothing to do with premium membership with geocaching.com. Jack Anderson said that there are checks in place to notify new SLAGA members that they need to set up a geocaching.com account if they haven't already done so. Jim suggested that a disclaimer be added to the SLAGA website stating that SLAGA membership in no way constitutes membership with geocaching.com.
Conclusions: Shirley Derr was in attendance, and offered to write a short disclaimer for the website.

Action Item: Write a disclaimer for the SLAGA website.
