MEETING MINUTES 2020

Meeting called to order at 6:31 pm.

Will be closing the MOGA account around the end of the year. Need to transfer t-shirt money into the MOGA account and then wait for all payments to clear before closing.

Retrospective

  • MOGA 2020 GC8F5PX was held this past weekend. Overall turnout was low, as expected.
    • Had a few firsts this year:
      • Everyone that competed received medals
        • Including a 4th place as well.
        • Remaining medals returned to Jesse Tuttle
      • First time a two person team found all 30 caches
    • Had some issues with loading punches, but was remedied quickly
    • MOGA has been sold to Jesse Tuttle for $350
      • Check was for payment of the 2 MOGA cups, website, and punches. Also covers the legal name transfer from SLAGA to Jesse.
      • He is now interested in purchasing ammo cans as well
        • We have 49 - 50 caliber and 35 - 30 caliber, ammo cans which we would be willing to sell
    • John has retained 100 black and 50 opaque white containers that were donated
    • We also have 15 - 30 caliber ammo cans, 10 cache containers for kids caches and $200 worth of kids swag
      • Some of these items need to be stored in a more climate controlled area.
    • The SLAGA trailer is now stored at Larry’s house
      • John has receipts for his expenses related to bringing the trailer to MOGA. Will turn in for reimbursement from the MOGA accounts.
    • The Knight of Columbus hall charged us $100 for usage.
    • Michael reported on the shirt sales
      • Bought 80 total and had 4 extras that we were able to sell over the weekend
      • We have 6 shirts belonging to SLAGA members that Michael will contact
      • We have 6 other shirts that need to get to the purchasers.
        • David will look into finding their billing info for addresses and phone numbers to contact them.
      • We had some double orders that were caught prior to ordering.
        • Were those that had double orders refunded?
          • David will look into that.
      • Also received a payment for a 2019 shirt!
    • Steve currently has the check book and all cash that was collected over the weekend.
    • John appreciated all the help, standing ovation and the kind words from Steve
  • Zoom get together was held October 8 with about 15 attendees
    • Mostly long time members attended, no newer cachers were there.
    • Heard from CIGA (Central Illinois Geocaching Association) that some of the members would like to join us for the instructional online meetings
    • Will have one more social meeting this month
      • Melissa will host it somewhere between October 25th through 30th
        • Steve will get log in information to Melissa soon as well as to the rest of the SLAGA officers.

      Events

  • Fall Picnic Halloween Celebration Event GC8HKB0 October 31, 2020 9 am to 3 pm. Update given by host Patricia.
    • Achievement awards will be given at the event.
      • Please see below in “New Business” for additional information on this.
      • Carolyn ordered 17 coins from Geocaching.com
        • Carolyn's contact there gave us a discount of $68 dollars.
        • Should receive the coins in time for the fall picnic.
      • We have two 10,000 Finds milestones to award
        • Carolyn will get the chairs
        • David will get the chair backs embroidered
      • We have one 25,000 Finds milestone to award.
        • Steve will reach out to give SWAseeker his choices on award.
        • If the jacket is chosen, David will get the jacket embroidered as well.
    • Saint Louis County Health Department and County Parks are aware of our plans and have approved.
      • Picnic tables at the park have been moved by park officials and need to stay where they have been placed due to social distancing guidelines.
        • There are 7 tables at our shelter, 6 are under the pavilion..
    • Attendees to bring their own food otherwise.
    • Patricia has three - two packs of handmade Halloween cloth masks as door prizes
    • New officers will be announced at 1:30 pm.
      • Steve will be working with the old and new officers for the transfer. 
    • Will be doing the costume contest with an adult and children categories
      • Two $20 gift cards will be needed for the winner of each category.
    • Will have the premium membership gift cards
      • Three $25 gift cards will be needed for that.
    • Will be having the raffle
      • Ensure that the extra raffle tickets are available for this.
    • We will need the PA system for the event as well.
    • SLAGA has hand sanitizer, masks, gloves and a thermometer for use during events.
      • May need to purchase hand soap for the restrooms at the park.

      Ongoing Business

 

  • 20th Anniversary geocoins are done and have been shipped to Steve
    • Should receive coins next week.

New Business

  • Additional achievement awards
    • We have had the third 25,000 Find achievement met, however there is no real guidance on what to give.
      • The previous two members were given multiple choices per Kathy DeWitt, former SLAGA President, although she no longer remembers what all the choices were. 
        • The members picked an embroidered jacket and a trackable hiking stick.
      • Officers discussed what should be done with these awards.
        • A blanket policy of anything up to a certain monetary amount, giving a choice of multiple items, or using the previous awards as precedence.
        • The decision was made to offer either an embroidered jacket or trackable hiking stick.
          • Motion to vote called by Steve, approved by Carolyn, seconded by Melissa.
    • Do we plan on giving awards for achievements greater than 25,000?
      • Officers decided to not give awards for achievements beyond this point.
  • Membership engagement ideas
    • Zoom training classes using a broken down GC 101 format class for newer cachers followed by some social time.
    • Zoom training classes going over separate aspects of GSAK.
    • Zoom social meetings to try to get newer cachers meeting each other and to help them get some connections and mentorship with long standing cachers
      • There is an intimidation factor for new cachers when faced with experienced cachers 
      • There is also the opportunity for new cachers to learn a lot even by listening to conversations.
    • Group hikes to local parks in order to cache together and get the caches in each park.
      • Would plan one per month
      • Board would get together and decide on where to go.
  • Bill Lange has asked for permission to use the SLAGA Zoom account.
    • He is working with seven other local cachers to set up an ambitious group Adventure Lab utilizing one area park.
    • Permission given as this will be a benefit to the overall SLAGA community.
      • Steve will get Bill set up to use the Zoom account.
    • May use this opportunity to have a group hiking event, which could also serve as a hands on training session for Adventure Labs.
  • John mentioned that at this time the January SLAGA Potluck is not planned unless there are improvements in the Covid-19 pandemic
    • It was also mentioned that this would also be true of the holiday party, as it is also held indoors.
      • Maybe we could use these days as the group hike for the month or possibly as additional hikes? Maybe have Zoom social time instead of or in conjunction with?

Events

  • GC 101 class was this past Saturday September 12, 2020
    • Bill Lange, Patricia Huchinson, and Melissa Pierce were the volunteers.
    • Much smaller class than usual (family of five)
    • Biggest issue was the batteries for the GPSr units dying during the course of the class. 
      • Batteries were determined to be approximately 5 years old, maybe older.
      • May buy new rechargeable batteries.
  • MOGA 2020 GC8F5PX is scheduled for October 10, 2020. John updated Steve as he was unable to attend tonight. .
    • Visitor’s center is still closed at this time.
      • Venue has been changed and is reflected on the MOGA listing.
      • Adventure lab has also been moved
      • Corp of Engineers is providing a tent for us to use at no charge.
      • There are no concerns with insurance due to this change
    • T-shirt orders need to close soon, as we need at least 2 weeks for processing.
      • Will close on Sunday, September 20th, 2020 at 6 pm.
      • Email to be sent on September 15th, 2020 by Melissa.
  • Fall Picnic Halloween Celebration Event GC8HKB0 October 31, 2020 9 am to 3 pm. Update given by host Patricia.
    • 40 will attends are logged at this time.
    • Working on ensuring we are compliant with the current St Louis County Health Department guidelines regarding COVID.
    • SLAGA will be providing cake
      • Cakes will be coming from The Cakery. 
        • There is a 3 business day full refund cancellation policy if we are unable to have the event.
      • Three - one-quarter sheet cakes using the top 3 flavors requested
      • SLAGA will pay $175 towards the cake
        • We could get cheaper cakes, but not the same quality.
        • At this time with lack of events and activities, feel we should have something a little nicer than usual.
        • Motion called, approved by Carolyn, second by Michael
      • Will serve the cake prepackaged between 10 am - 3 pm.
    • Attendees to bring their own food otherwise.
    • Patricia has three - two packs of handmade Halloween cloth masks as door prizes

      • Uncertain how many people will stick around for the announcement as we will not be having a meal.
    • What events do we want to have available for people to participate in?
      • Don’t want to keep people tied up at the event considering the current health situation.
      • Do a costume contest utilizing online voting means? Have just 2 categories for adult and kids?
      • Is there a safe way to hold our usual raffle?

      • Closest to pin and ammo can toss can be done with adequate precautions and disinfectant.
    • Will have the usual gift cards, will purchase from Kathy DeWitt.

 

Ongoing Business

  • Award Coins for milestones will be purchased from Geocaching.com
    • Milestone achievements need to be submitted to Carolyn via website by September 30th, 2020.
      • Will order by October 4th, 2020 in order to have them by the Fall Picnic October 31st, 2020.
    • Carolyn will reach out in the next week to fill in the incoming Vice-President, Robert, on the process.
    • Email for milestone submittals will be sent out this week. 
  • 20th Anniversary geocoins. 
    • Our coins are being redone as the design submitted did not match what was received. 
    • Uncertain when we will get the coins delivered.

Other Business

  • New officers to get together with the outgoing officers to get up to speed on job duties.
    • Outgoing officers will be kept on the email list for one year for any issues.
    • New officers have been added to the email lists.
  • Laura MacLeod, St Louis County Park Ranger, joined this evening to discuss the upcoming managed deer hunts scheduled for November 2020.
    • Managed bow hunts are scheduled for November 7 - 30, 2020 at four county parks:
      • Greensfelder
      • Creve Coeur
      • Queeny
      • Jefferson Barracks
    • AREAS AND TRAILS ARE NOT BEING SHUT DOWN
    • We will be sending out multiple emails to inform everyone.
    • Michael will send out a notice on Facebook.
    • Those people with caches in those areas may want to consider disabling their caches during that time period
    • Others need to be aware in case they plan on caching in the area

New Business

  • Zoom training classes with question and answer sessions 
    • Suggestion was made on Facebook by a SLAGA member to do some type of training class for new cachers to get help.
    • Possibly do social online events also
    • We will start with 2 monthly sessions to see what type of response we get from this.
      • Use the first couple of sessions to gauge what type of training people are interested in.
        • Try to recruit volunteers to put together classes
          • A suggestion tonight was made to ask Jason to present on GSAK
        • Possibly video record and put up for future viewing
      • Can host up to 100 people at a time.

  • Community Celebration Event was hosted by John on July 18, 2020 at the Riverside Pavilion at Cliff Cave Park. GC8HMMJ
    • There were about 50 attendees that signed the log.
    • Cave tours were well attended at both sessions.
    • Have not mailed the $25 gift cards for premium member attendance prizes at this time.
      • Steve will be taking care of this.
  • MOGA 2020 GC8F5PX is now set for October 10, 2020. John gave updates on the progress thus far. 
    • Issues with the camping reservations at this time. This is a Corp of Engineer reservation system problem and ForesterAl is looking into it.
    • Visitor’s center is still closed at this time.
      • Lab cache not active there per request.
      • If the visitors center does not open prior to the event, will plan to have the puzzle competition at a pavilion nearby.
    • Award ceremony room is scheduled. Uncertain if we will be able to hold the event there due to possible Covid restrictions. If not, may hold at the competition pavilion outside instead. 
    • GeoCoins and awards have been designed by Jesse Tuttle of AFK Designs. 
      • Jesse has reassured John that they will be there.

Ongoing Business

  • Award Coins for SLAGA have been designed by Jesse Tuttle, however will be dropping this for now. 
    • Will purchase coins from Geocaching.com store instead.
  • 20th Anniversary geocoins. 
    • Coin sample photo was received. Red is not as red as we hoped for.
  • Volunteers will be needed for the September 12th GC101 class
    • We will be following the current guidelines at that time to know what our expectations will be.
      • Need to hear more from Laura on this.
      • Depending on the room occupancy limit may need to rearrange our volunteers to fit the requirements.
    • Steve completed the GPX files for the class and has forwarded it to both Michael and Bill.
      • They will check it over to make sure it’s correct.
    • Michael will research out to Nan to see if she’s available to help
      • Robert has already agreed.
    • Melissa will pay for the lunch on her credit card and will be reimbursed at a later date.
    • Steve will arrange to drop off:
      • GPS units to either Patricia, Melissa, or Bill.
      • Swag for the cache nearest the building.
    • Inside banner will be brought by Bill.

Other Business

  • SLAGA officers ballots have been sent out.
    • Some issues with people not receiving them. 
      • Dave to resend.

    • Michael reported that we have sold 53 shirts at this point.
    • GeoCoins and awards have been designed by Jesse Tuttle of AFK Designs. 
      • Have not heard from Jesse recently about the geocoin situation.
      • We do have knowledge that production in China has been reduced again at this time. 
  • Community Celebration Event will be hosted by John on July 18, 2020 at the Riverside Pavilion at Cliff Cave Park. This will be in place of both the spring and summer picnics. GC8HMMJ
    • Concerns on safety for attendees due to Covid-19
    • St Louis County Health Department is now requiring a gathering permit.
      • Will follow up to see how or even if this will affect us
      • May move the event to Jefferson County if needed 
    • Suggestion was made to see about having an ice cream truck or shaved ice truck stop at the event depending on cost, minimum sales, etc
      • Another option could be getting individually packaged Ted Drewes Frozen Custard. Michael  will send the information he has on this to John.
      • John will look into these options.
    • Attendees will bring their own food and utensils. Do not share with others.
    • SLAGA does have hand sanitizer and disinfectant that can be provided.
    • We need to do our due diligence to protect our membership to the best of our ability.
    • John is both the host and reviewer and will send announcements on the status of this event as we get closer to it.

    • Will get with Laura about what will be required in September in regards to safety due to Covid-19
    • 2021 GC101 class dates have been set up.
      • March 27 and June 12 will be outside as they are remodeling the building.
      • October 2 will be inside.

  • SLAGA officers call for nominations for President, Vice President, and Treasurer has been sent out. 
    • Melissa will send out a “last call” email for nominations.
    • Nominations needed by June 30, 2020. 
    • Notices to the nominees will be sent out at that time for them to accept or decline.
    • Voting will be open from July 15- August 31, 2020
    • New officers will be announced at the Fall Picnic on October 31, 2020

  • Missouri reviewers are now approving events with a disclaimer placed on the event.
    • Disclaimer reads:
      • Effective as of June 1, 2020. As the Coronavirus 2019 (COVID-19) situation is evolving rapidly around the world, Geocaching HQ urges all Event hosts and attendees to prioritize the safety of themselves and their attendees. At this time, we advise Event hosts to consult their regional health authorities to understand the guidance regarding the gatherings of people. Generally, Geocaching HQ leaves the decision to Event hosts on whether to continue hosting the Event and to attendees on whether they will participate.
  • Will start putting up events on Facebook as events in order to hopefully spread the information to those who do not read emails or go to the website.

    • Concern about the late event date in regards to the SLAGA fall picnic and the induction of new officers.

  • Award Coins are now available
    • Geocaching.com shop has their new milestone coins available in both 1000 and 5000.
      • They are $18.00 per coin
      • Need 14 total currently 
      • Should purchase 10 extra of each 
      • Uncertain if these can be engraved. 
        • Is there an engraving spot?
        • Will geocaching.com do that or do we need to find someone?
        • What pressure do we need in order to not damage the coins?
      • Not available at Cache Advance at this time.

    • There are still some flaws, however the organizer believes they should be done by the end of July.
  • Volunteers will be needed for the September 12th GC101 class

  • Community Celebration Event will be hosted by John on July 18, 2020 at the Riverside Pavilion at Cliff Cave Park. This will be in place of both the spring and summer picnics. GC8HMMJ

    • Do not want to do a potluck at this time.
    • Attendees will bring their own food and utensils. Do not share with others.
    • SLAGA does have hand sanitizer and disinfectant that can be provided.
    • Maybe have the picnic and divide it into time slots in order to have smaller group sizes as a way to limit the group size if needed.
    • We need to do our due diligence to protect our membership to the best of our ability.
    • John is both the host and reviewer and will send announcements on the status of this event as we get closer to it.

Ongoing Business

  • Award Coins for SLAGA have been designed by Jesse Tuttle. 
    • Have not heard from Jesse on the status of these coins.
  • 20th Anniversary geocoins. 
    • The factory has reopened however they can not get consistent quality on the specialized transparent colors at this time due to worker unavailability. 
  • Would like to find a way to encourage volunteers to work different events. 
    • We are tabling this at this time. Will revisit when appropriate.

Other Business

  • SLAGA officers call for nominations for President, Vice President, and Treasurer has been sent out. 
    • Looking to close nominations by the end of June 2020. 
    • Voting by August 2020
    • We do have nominations for all rolls.
  • Melissa asked about the awards for higher level finds, as we now have both a 20,000 and 25,000.
    • We do not do anything for the 20,000
    • We have done a $50 gift for 25,000 finds.
      • Previous gifts for this have been a personalized walking stick and jacket.
  • GC 101 classes have been cancelled for March and June 2020.
    • There has been no real guidance from the St. Louis County Park leadership at this time on how they would want this to be conducted.

  • Zoom meetings
    • With current events as they stand, meeting in person seems to be on hold for the immediate future.
      • Suggest holding meetings for the immediate future via Zoom
        • Motion was called by Carolyn, seconded by Michael.
        • Will look into prices as well in order to access additional time and other benefits.
