SLAGA Board Meeting

July 18, 2019

Attendees – Steve Bromley, Bill Lange, Patricia Hutchison, Jan Salvaggio, Carolyn Jaycox, Jason Jaycox, David DeWitt

​The meeting was called to order at 6:01 PM.

​Motion to approve the June minutes was made by Carolyn, seconded by Jan.  The minutes were unanimously approved.

​Jan presented spreadsheets for March through June.  Motion to approve the June treasurer’s report was made by Carolyn, seconded by Bill.  The treasurer’s report was unanimously approved.

Old Business

▪ Newsletter/Email blast  
♦ Voting for officers will open as soon as ballots are ready.  Voting will be ‘reply to’ email only.
♦ Adventure Lab Caches will have its own, separate email blast.  (See New Business.)
▪ Upcoming Events: 
♦ 2019 SLAGA Summer Picnic – GC86RH9, Mexico, Missouri, 7/20/19.
♦ July Adopt a Highway CITO – GC88JWX, SLAGA MoDot CITO, 7/21/19.  Carolyn gave Patricia five CITO coins to pass along to Candyce Grisham to have in hand for drawings to be held at her CITO events.
♦ Thank You, Banjo Boy! – GC89819, Fuddruckers, 7/26/19.
♦ SLAGA Meet & Greet & Eat Frozen Custard – GC8ANNQD, Ted Drewes (Chippewa), 8/31/19.
♦ 2019 Grave Hop – 10/12/19.  Location has been determined but is a secret at this time.
♦ 2019 SLAGA Fall Picnic – GC page to be created, Officer Snyder Park (formerly Clydesdale Park), 10/19/19.
♦ MOGA – 4/4/20.
▪ Geocaching 101 Classes
♦ The next class is September 7, 2019.  Volunteers should contact Bill Lange.
♦ Laura McLeod verified that the dates chosen by the SLAGA board for the 2020 classes – 3/28, 6/6 and 9/12 – are fine and the information has been passed along for publication in the St. Louis County Parks activity catalog.
♦ GSAK – nothing is currently planned, but Steve would like to have another class.
▪ New Banners – Steve is still investigating this issue because the person he needed to talk with was not available the day he initiated contact with the vendor.
▪ Ballot and voting Process – Voting will take place via email as soon as ballots are ready. (See Old Business.)
▪ Nomination Process – Nominations close one month before the Fall Picnic, per the bylaws.
▪ Event Checklist – This is an ongoing item.  The board requested that a copy forwarded to Nan Dabler as the next host of a major event:  the Fall Picnic.

New Business

▪ CITO Coins/Milestone Awards
♦ Carolyn passed the CITO coins to Patricia to give to Candyce Grisham at her CITO on 7/21/19.
♦ The deadline for milestone submissions is 9/15/19.  For those experiencing issues with the milestone submission page, the form is working but the site is posting a bad landing page.
▪ New PA System – Steve got some information on specs from Guitar Center, but the board is still looking into various options for replacing the current system.
▪ PayPal – Due to ongoing issues with the PayPal account, the board plans to close the current account and open a new one.  Motion to set up a new account and close the old one was made by Steve and seconded by Bill.  Motion passed unanimously.
▪ Adventure Lab Caches – SLAGA has been tapped to set up another set of Adventure Lab caches – up to 10 – by Groundspeak.  Bill has taken the lead on this project and he will be opening the creation of labs to the SLAGA membership.  
♦ EVENT – Bill will also host an event to discuss ideas.  A theme is needed.  One theme suggested is ‘SLAGA Hidden Treasures’, possibly landmarks.  Suggested labs at locations which already have virtual caches would be required to gather different information than that required by the existing virtuals.
♦ DISTANCE LIMITATION – The new adventure labs cannot be placed farther than 20 miles from downtown St. Louis.  Illinois locations are welcome for this set of labs.
♦ DEADLINE – Any SLAGA member interested in participating in the creation of the new Adventure labs should submit their ideas to Bill at This email address is being protected from spambots. You need JavaScript enabled to view it. by August 10, 2019.  This is a firm deadline and there will be no extensions due to the Groundspeak requirement that the labs go live no later than August 20, 2019 or the offer will be rescinded.
▪ Day Outside Festival – This event has been rescheduled to a date in September, to be held in the St. Vincent’s Greenway area.  The board rejected participation in this event due to the insurance requirement.  As this is still required for the rescheduled event, the SLAGA board declines to participate.
▪ Cachestat link on SLAGA’s website – The name search does not work on the form.  As this is an outside site handing the search requests, SLAGA has no control over it.  Dave will work on creating a resource page, with a disclaimer that SLAGA is not responsible for content, with links leading to outside sites.  This may include a ‘TOTT’ section with common pages used to help solve puzzles.
▪ Membership awards – Dave is working on gathering up the list of those members who updated their information earlier in the year on the SLAGA website.  Winners will be drawn and the awards presented at the Fall Picnic.
▪ Milestone Awards for Family Memberships – A maximum of two awards will be presented to those with SLAGA Family Memberships, but those families with more than two caching members will have the option to purchase additional award coins at the time they submit their milestones so that all will have matching coins, if they choose.  Additional coins would be provided at cost to the buyer.
