MEETING MINUTES 2021

20 July 2021/ 6:30 PM / meet at SmithPro Painting

ATTENDEES

Steve Bromley, Michael Smith, Robert Klemme, Nan Dabler, Melissa Pierce

Meeting called to order at 6:34 pm.

Motion called to approve June 2021 minutes by Michael, seconded by Robert.

Motion called to approve June 2021 treasurer's reports by Robert, seconded by Michael.

  • Steve will look into closing out the MOGA account as it appears to be finalized.
    • Is in contact with Amanada at US Bank to see what needs to be done to close it.
    • If Steve can close the account, the board agrees to have him do so.
      • Approved by Nan, seconded by Robert.
  • Will also check into moving the primary bank location to Kirkwood.

Retrospective

  • Summer picnic
    • More attendees than expected
      • Had 65 signed in
        • Had closer to 75-80 people in total

       Events

  • St Louis County GC 101 class is now scheduled for October 16, 2021 from 10 am - 12 pm.
    • Will need to send out an email for volunteers.
  • Brentwood Parks and Recs GC 101 will be held on September 11, 2021 from 10 am - 12 pm.
    • Will need to set up temporary caches at the Brentwood facility
      • After looking at the area online, we may need to do some magnetized caches and small sized regular caches.
    • Currently have 15-20 people signed up
    • Will need to send out an email for volunteers.
  • Fall picnic is upcoming and should be held in October.
    • Steve can do it in Columbia, IL if there is a spot available.
    • Will send out an email for a volunteer host
      • Plan on the 23rd or 30th of October
    • Probably will not do a potluck this time
      • Could be a no food provided event
      • Could do box lunches
        • Steve mentioned knowing of a place that does box lunches for $9 per box
        • If we could set it up through the SLAGA store, we can do prepay.
      • Will discuss this further with whomever hosts.
    • Inventory should also be done at this time
      • Arrangements can be made to do this at Larry’s house, where the trailer is stored, instead of trying to do during the picnic.
    • It was suggested that we have 3 board members available in the morning and 2 to close the picnic.

      Ongoing Business

 

  • Procedures/Systems
    • David DeWitt was supposed to join us tonight, but was unable to.
      • Steve will contact him at a later date.
  • 20th Anniversary Coins
    • Robert would like to know if he can take some to the Geobash event.
      • Board agrees that they should be taken to any large event if wanted for sale.
  • Election
    • Acceptances for candidate nominations closed on July 14th.
    • Kathy DeWitt relayed that we have one person for Vice President and one person for Secretary
      • John Layman - Vorlon40 for Vice President
      • Melissa Pierce - SociButte for Secretar y
    • Ballots will be emailed out soon.
  • Pathtags
    • Nan talked to Tony Colter about designing a new pathtag before our credits expire.
      • He is currently too busy to take this on.
    • Nan also talked to Sarah Chisolm.
      • She is considering designing a new one for us.

 

New Business

  • SLAGA by-laws
    • Issue was raised to go over and amend any by-laws for updates, changes, etc.
      • Needs to be done prior to the fall picnic
    • All MOGA related sections and articles need to be removed.
    • Election issues need to wait for changes until after the fall meeting.
    • Board members will go over the by-laws prior to next meeting for any changed.
      • Thank you Michael for making copies of the by-laws for members.
  • Donated items
    • We were donated items from John Young, TheCat, and Elaine
    • How do we want to handle the items?
      • Some are worth more than others and we feel that they should be adequately represented.
    • It was suggested that we do a silent auction for the higher priced items, the raffle for the “regular” items, and possibly a $3 table for the plethora of smaller odds and ends.
  • Volunteers
    • Melissa will send out one more email looking for volunteers.
      • She has been emailing those who emailed in interest to let them know that we received their email.
      • Had 4 people email interest.
    • We set up a list for volunteers at the summer picnic
      • Had 18 people sign up 
    • Melissa will set up the volunteer email list and send out an email to all volunteers.
